Tone of Voice Guide
A tone of voice guide documents how an organization communicates across channels and situations while preserving a consistent underlying brand personality.
A tone of voice guide turns a general brand personality into usable writing decisions. It specifies desired qualities such as direct, reassuring, or energetic; describes language to avoid; and supplies before-and-after examples for headlines, forms, social posts, customer support, and sensitive announcements. Tone can change with context even while the underlying brand voice stays recognizable: a payment failure message should not sound exactly like a product celebration.
A practical guide includes an audience description, a few prioritized attributes, sentence and vocabulary preferences, accessibility and inclusive-language rules, and examples of messages at different emotional stakes. It should also explain who approves changes and how writers resolve conflicting requests. Teams can assess draft copy against dimensions such as formality, enthusiasm, humor, and respectfulness rather than asking whether a message merely "sounds on brand."
Brand voice is the enduring identity; a tone guide is the operational reference that helps people apply it consistently. Treat the guide as something to test with real users and update as the organization and channels change.
