Call Transcription

Call transcription converts spoken telephone conversation audio into written text, either during a call or from a recording.

Call transcription lets a business review the words spoken during customer calls without replaying every minute of audio. Speech recognition can produce a live transcript or process a retained recording later. The result may support appointment notes, quality review, searchable service questions or analysis of why estimates were not booked.

Transcription is not the same as call tracking, which attributes phone inquiries to marketing sources, or call recording, which stores audio. A transcript can be incomplete: accents, background noise, overlapping speakers and industry terms can produce errors. Names, addresses and quotes should be checked before being copied into a customer record or used for a business decision. Automated summaries add another interpretation layer and may introduce mistakes.

Because conversations can contain personal or sensitive information, businesses need clear retention rules, restricted access, vendor review and a process to honor applicable recording, notice and consent requirements. Those rules can vary with location and circumstance; a transcription feature does not itself establish legal permission to capture a call. Avoid treating every conversation as training data by default.
